Basic Policy on the Use of AI

Through the use of AI, the TIS INTEC Group aims to not only advance customers' operations but also support transformative changes that redefine the very nature of industries. At the same time, we must remain attentive to the challenges behind the convenience of AI and continue our commitment to earning the trust of society.
This policy represents the starting point for these efforts. Through ongoing dialogue with customers, the TIS INTEC Group will deepen its understanding and continuously refine its approach as it strives to remain a partner that customers can choose with confidence.
We aim to harness the power of AI to foster new creativity and flexible value delivery, and thus realize unprecedented solutions to challenges and innovations in services. In doing so, we will contribute to the development of a sustainable society and the fair use of technology. Guided by the TIS INTEC Group Human Rights Policy, we will uphold respect for human dignity and privacy while giving due consideration to ethical principles.
1. Purpose
The TIS INTEC Group will bring together the knowledge and technological assets of each Group company to form a co-creation ecosystem that fosters broader value creation and the resolution of social issues. While leveraging the power of AI to help develop a sustainable society and create value for customers, we will carefully address the risks associated with AI and aim to establish an environment that earns the confidence of customers.
The intention of this policy is to communicate the principles valued by the TIS INTEC Group to society and to build trust through transparent dialogue. Relevant departments within the TIS INTEC Group—including security, legal, and quality assurance—will work together to proactively address risks and maintain a framework for continuous improvement. In addition, we will use AI appropriately in compliance with applicable laws and regulations and the relevant rules of the TIS INTEC Group.
2. Scope of Application
This policy applies to the use of AI in projects in undertaken by the TIS INTEC Group and in its day-to-day operations. Its activity scope includes consulting, planning and research, strategy formulation, business and service design, system development, operation and maintenance, data analysis, and customer support. In addition, we will foster the establishment of usage standards across the industry and the widespread adoption of reliable AI use in society.
The "AI" referenced in this policy also covers generative AI, including technologies that perform natural language processing and image generation. Please note that the descriptions include matters related to the uncertainty of outputs—one of the characteristics of generative AI—as well as copyright and other issues.
3. Responsibility
AI is positioned as a tool to support decision-making, and the responsibility for final decisions and explanations will always be borne by humans. In areas with greater potential impact on operations or society, we will place strong emphasis on human verification and judgment to ensure that operations do not rely excessively on automation.
4. Safety
While the outputs of some AI models, including generative AI, can be useful, they may also contain errors or inappropriate content. Rather than accept responses from AI at face value, the TIS INTEC Group will adopt as a basic stance that humans verify their suitability for the intended purpose and the validity of the underlying rationale. For AI technologies that generate outputs, including generative AI, we will verify the intellectual property rights and licensing conditions associated with such outputs and take care to avoid infringing the rights of third parties.
We will also assess potential impacts on our operations in advance and incorporate appropriate precautions and mitigation measures from the design stage to help prevent unexpected behavior. We will also give due consideration to the impact on service quality of updates or configuration changes to models that are continuously trained and improved, including generative AI, in order to operate them safely.
When selecting AI models and services, including generative AI, we will assess the legitimacy of the training data sources and the reliability of service providers, as well as transparency and ethical considerations, and choose technologies that are appropriate for the intended purpose.
The TIS INTEC Group will conduct regular reviews of AI utilization and impacts and work to continuously improve operational quality and safety.
5. Confidentiality
While promoting various business activities, including the use of AI, the TIS INTEC Group will use customers' confidential information only within the scope of the intended purpose and manage it appropriately. We will also establish appropriate environments on the premise that customers' data will not be used for training third-party models and that AI output results will also not be reused.
6. Security Assurance
In using AI, we will implement technical and organizational safety measures in stages. This includes basic measures, such as using appropriately managed execution environments and implementing access controls, while verifying the reliability of service providers and conditions for handling data.
In the event of an incident, we will take prompt initial action, notify relevant parties, contain the impact, investigate the cause, and work to prevent a recurrence.
7. Accountability
The TIS INTEC Group will maintain a responsible approach to AI utilization that meets society's expectations and will help promote the sound and responsible use of AI across the industry.
We will respond promptly and sincerely to questions, concerns, and complaints from customers and stakeholders.
When necessary, we will collaborate with relevant departments and experts and strive to provide accurate information and resolve issues.
8. Education and Literacy
Human understanding and involvement are essential to the proper use of AI. The TIS INTEC Group will continuously provide employees with education on not only basic knowledge, such as privacy, confidentiality, rights, and security, but also the characteristics and limitations of AI.
Through repeated learning and reflection grounded in practical experience, we will pursue safer and higher-value applications of AI. Drawing on case studies and operational outcomes, we will periodically review our guidelines and training programs to ensure ongoing improvements aligned with real-world practice.
